Information we use
Messages and enquiries
When you contact us, we receive your email address, message and any name or subject you provide. Contact enquiries may be stored on our website and delivered to our email inbox.
Please include only information needed for your enquiry. You do not need to send sensitive personal information to ask a question about the website.
Calculator inputs
Our calculators use the information you enter to produce estimates. This can include room dimensions, insulation, sunlight, occupants, equipment details, temperatures, schedules and electricity prices. You do not need an account or payment details.
The Advanced Calculator saves progress separately for each route in your browser tab. This is separate from the Quick Check. Saved progress and downloaded reports can be removed through the calculator’s reset controls, your browser’s site-data settings or your device’s file controls, as appropriate.
Website analytics
We use Statcounter to understand how people find and use CostToCool. It helps us see which pages are useful and improve the website’s content, design and functionality.
Analytics information can include visited pages and page titles, dates and times, IP addresses, referring links, browser and operating-system details, device type and screen size. Statcounter uses cookies and similar technologies to help count visits and recognise returning browsers. See our Cookie Policy for details.

Technical records
The website and hosting services process technical information needed to deliver, maintain and protect the site. This can include IP addresses, requested pages, timestamps, browser information and error or security records.
Why we use information
- To answer enquiries and maintain relevant correspondence.

- To maintain security, reliability and prevent misuse.

We rely on legitimate interests when responding to enquiries, operating and protecting the website, and improving its usefulness through statistical information. Consent requirements for optional browser storage are separate from these purposes and depend on the technology and how it is used.
Contacting us does not subscribe you to marketing emails. We do not sell your personal information or share it with third parties for marketing or advertising purposes. The site does not currently run advertising.
Who receives information?
Information may be processed by service providers that help us operate CostToCool. These include:

How long we keep information
We retain enquiry records while handling your request and for a reasonable follow-up period, taking account of unresolved questions, disputes and legal requirements. Technical logs follow their security or troubleshooting purpose and the relevant provider’s settings. Analytics records follow the Statcounter project’s retention settings. Backups may retain older records until their normal replacement cycle.
Your rights and choices
Depending on the applicable law and circumstances, you can request access, correction, deletion, restriction of processing or a portable copy of your personal information. You can object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing.
